June 2014
IN THIS ISSUE...
4-H CAMP PAYMENT
1. By
February 1, the camp chair will submit to Rock Spring a list of extension units
with address and e-mail and indicate if the invoice should be mailed to the 4-H
Council or Extension Council.
2. Twelve
working days prior to camp, the camp chair notifies the assigned Rock Springs
Administrator on Duty of individual extension units’ numbers of campers,
counselors and agents/adults. (Scenic
County: 112 campers, 15
counselors, 4 agents/adults for counselor training and 12 additional
agents/adults). Plus, provide Rock
Springs with the number of campers housed in the
Stoneybrook living area.
3. Upon
receiving the number of campers by extension unit from the camp chair, Rock Springs will invoice
individual extension units within the camp group within two business days and
return invoices to the camp chair. Rock
Springs will adjust for available discounts based on
camper numbers and Stoneybrook campers.
4. The camp
chair then will forward the invoices to the respective camp group members. Extension
Units will verify the statement for accuracy and report changes immediately. If
adjustments are needed those changes will be reflected in a new invoice sent by
Rock Springs.
5.
Individual extension units will pay Rock Springs
by the start of camp based on the numbers given to Rock Springs. No refunds after the two week (or 10 working days)
prior to camp. Rock Springs has requested that the invoice be paid as billed.
6. Additional campers may be added past the
invoiced date but refunds will not be given.
During 4-H camp, financial
changes can be adjusted for additional fees and must be submitted within two
weeks following camp participation.
7. A $100.00
administration fee plus 1.25% monthly interest will be charged for late payment
of the invoice starting on the third day of camp.
Extension
4-H Camp Incidental Fees
1. Camp groups’ financial account managed within either an
extension unit’s 4-H Council or Extension Council as a sub-account.
a. Extension
unit manages the account under KSRE recommendations.
b.
Preference of KSRE Administration would be individual agents/adult volunteers
purchase needed supplies/equipment on personal account and submit expenses to
camp group treasurer for reimbursement.
c. All
financial transactions must be accounted for.

CAMP COUNSELORS NEEDED AT ROCK SPRINGS
Rock Springs is hosting two summer environmental camp: Science
and Civics, July 1-3 and A Growing Green Sustainable Gardening,
July 25-27. Both camps are in need of college-aged counselors. The Science
and Civics camp is designed for high school students while Green
Sustainable Gardening camp is for 12-14 year olds.
Each camp needs six-eight counselors. If students need
volunteer hours this would be a great opportunity. To learn more about these
opportunities please contact Mandy Kern, 620-412-1725 or mkern@rocksprings.net. Don’t
delay! Van Horn
4-H AND EXTENSION SPONSORED SPRING SHOWS
When 4-H and/or Extension plans, organizes and facilitates a
livestock, small animal, horse or pre-fair activity please double check that 4-H Policies are
being followed. An area of concern is 4-H Cloverbuds. The program was designed for
5-and 6-year-olds. Cloverbuds is activity-focused, rather than project –focused.
Furthermore, 4-H Cloverbuds members many not participate in any competitive 4-H
event. 4-H Cloverbuds members many showcase their exhibits at fairs and public
events. 4-H Cloverbuds may not have 4-H livestock projects that require
long-term, ongoing care or weigh-ins, nor can the member participate as a
competitive 4-H exhibitor within livestock divisions.
For more information referring
to 4-H Cloverbuds, please check the Kansas Department of 4-H Youth Development
Policy Guide, http://www.kansas4-h.org/p.aspx?tabid=588,

2015 KANSAS 4-H AND FFA WHEAT VARIETY PLOT ENROLLMENT OPEN
As wheat harvest
approaches it is time to remind members to re-enroll or ask new members to
enroll for the 2015 Kansas 4-H and FFA
Wheat Variety Plot program. The program begins fall of 2014 and goes through
September 2015. The enrollment form and
program details are currently available.
Visit: http://www.kansas4-h.org/p.aspx?tabid=297.
Members are asked to contact their local
Extension Office by July 10 for information with enrollments due to the
Northwest Area Extension Office by July 25, 2014. Cost
for 2014-15 will again be $30.00 to receive the five varieties of wheat.
This fee is now needed to contribute to the cost of the wheat varieties.
It
is very important that we know the number of participants early, so we can have
enough seed and metal signs available for Extension agents and leaders to pick
up at the Kansas State Fair. New
participants will receive a free large plot sign, and five free individual
variety signs. These will be distributed
on Friday, September 5th at the 2014 Kansas State Fair.
Don’t forget to
pull your wheat samples for the Kansas State 4-H Wheat Show on Thursday, August
7th at Pratt, and also for wheat samples at your county fair, that may be
eligible for the Kansas State Fair 4-H Crops Division. This year's participants who are getting
ready to harvest their plots should be planning their county fair display for
possible qualifying for the Kansas State Fair entry in the Showcase Building.

48 HOURS OF 4-H COMING THIS FALL
According to a 4-H study
of positive youth development, 4-Hers are nearly 4 times more likely to make
contributions to their communities. But just how much can they
do? In one weekend this fall, 48-Hours of 4-H will challenge club members,
adult leaders and 4-H alumni to explore their service capabilities and inspire
the community around them by taking part in some type of service project during the weekend of October 11-12,
2014.
This Kansas 4-H challenge is brought to you by the Kansas 4-H Youth
Leadership Council in conjunction with the K-State Research and Extension
Department of 4-H Youth Development with generous support from the Kansas 4-H
Foundation. More information will be shared with local offices prior to Discovery
Days. This is just a heads up about this
exciting project planned for this fall.

PIZZA AT DISCOVERY DAYS
The Kansas 4-H Youth Leadership Council Campference Committee will once
again sell pizzas and soft drinks two evenings at Discovery Days 2014. The
prices of these items will be approximately $1 for soft drinks and $12 for
pizza. Please inform any 4-Hers attending Discovery Days that extra cash will
be needed to purchase pizzas and soft drinks if desired. The profit from this
fundraiser will go to Campference, the state wide 4-H leadership training event

ACCESS: INVALID EMAIL ADDRESS REMOVAL THIS JUNE
The National 4-H Council ACCESS Team will be removing invalid email addresses from the ACCESS Enrollment System. This clean up effort will occur in late June and a specific date should be announced closer to the event.
Please know that Invalid emails are incorrect email addresses. The error could be either a
misspelling or incorrect use or placement of a symbol, such as dots, hyphens,
underscores, etc. For example, if a 4-H parent has the email
address: 4Hmoms.rock@hotmail.com but the email address entered into ACCESS is 4Hmomsrock@hotmail.com
(missing the dot), the email is invalid and this person will never receive
your email.
Please feel free to contact me with any questions or concerns.

ACCESS: EMAIL HOUSEKEEPING
It
is critically important that our 4-H messages get to their intended recipient(s). When we use outlook or another email client
typically undelivered messages appear in our inbox alerting us to the bad email
addresses. This doesn’t happen when
using the ACCESS 4-H email system, but we're able to locate undelivered email problems ourselves by using the Track Email feature.
1. After sending an email, go to Track Email located in the upper right hand side
of the screen. The track email feature
shows you who an email was sent to and when it was sent. It does not show the content of the email; we
don’t have access to that information.
2. While on the Track Email screen look to the far
right of the sent mail information.
There is a link that says Track Failures.
If no failures were found that means that all emails went from
our email server to the recipient’s email server.
3. Click on the words track
failures and a list of the names, email addresses, and reason why the
email failed is listed.
4. Corrections to the email address(s) in question can
then be made on the individual’s profile page.
Click here for Q&A regarding bounced emails.
